Moms In Motion is seeking a highly organized and detail-oriented Executive Assistant to provide comprehensive administrative support to our Chief Operations Officer. This role requires strong communication skills, proactive problem-solving abilities, and the capacity to manage a demanding workload with poise and efficiency.

Key Responsibilities:
  • Calendar Management: Maintain and manage the COO's calendar, scheduling meetings, appointments, and travel arrangements.
  • Communication: Manage incoming and outgoing communications (emails, phone calls, correspondence), ensuring timely and professional responses.
  • Travel Coordination: Arrange and coordinate travel itineraries, including flights, accommodations, and transportation.
  • Meeting Coordination: Plan, prepare, and facilitate meetings, including preparing agendas, arranging locations, and distributing materials.
  • Project Management: Assist with various projects and tasks, ensuring timely completion and adherence to deadlines.
  • Other duties as assigned.
Required Skills and Qualifications:
  • Education: High school diploma or equivalent required; Associate's or Bachelor's degree preferred.
  • Experience: Minimum of 2-3 years of experience as an executive assistant or similar role.
  • Communication: Excellent written and verbal communication skills.
  • Time Management: Proven ability to manage time effectively and prioritize tasks.
  • Technical Proficiency: Strong computer skills, including proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Google Suite and Zoom Workspace
  • Organizational Skills: Highly organized and detail-oriented with a proven ability to maintain accurate records.
  • Interpersonal Skills: Professional demeanor and ability to interact effectively with all levels of staff and clients.
  • Proactive Problem-Solving: Demonstrated ability to anticipate needs and proactively resolve issues.
  • Confidentiality: Ability to handle confidential information with discretion. 
  • Must have a home workspace with stable internet access. Will occasionally work in person with COO or at corporate office.
